Fulfillment is the logistics engine that connects your warehouse to both your customers and your factory floor. It manages every physical movement of goods — from the moment a customer sales order is ready to ship, to the moment a supplier's delivery is confirmed and shelved, to the moment raw parts are issued to the production floor.
Outbound shipping starts with the Shipping Queue — a list of Sales Orders ready for fulfillment. From the queue, warehouse staff generate picking sheets that list each required item sorted by warehouse bin coordinates. Once items are picked and packed, staff record package weights, select a freight carrier from the configured carrier list, enter tracking numbers, and confirm the shipment dispatch.
Inbound receiving is managed through the Receiving tab, which shows all outstanding Purchase Orders expecting delivery. When a supplier shipment arrives, staff open the relevant PO receiving form, compare received quantities against ordered quantities, record batch or lot numbers and expiry dates for tracked items, log any damage or discrepancy notes, and submit the receipt — which automatically updates inventory stock levels.
The Work Order issuance function bridges the warehouse and the factory floor. When a production work order is released, the Fulfillment module generates a raw material picklist from the product BOM. Warehouse staff pick components from their bin locations, issue them to the work order, and submit the transaction.
- Reduces packing errors with bin-sorted picklists that guide warehouse staff directly to the correct shelf and bin for every item in an order.
- Maintains shipment accountability by recording carrier names, tracking numbers, parcel weights, and dispatch dates for every outbound order.
- Prevents inventory discrepancies by reconciling received goods against purchase orders before updating stock levels.
- Ensures production continuity by managing the material issuance workflow from warehouse to factory floor with a full transaction record.
- Supports partial shipments and partial receipts — receive or ship in multiple stages and track what is still outstanding.
Shipping Queue — Outbound Order Dispatch
- Navigate to Fulfillment and open the Shipping Queue to see Sales Orders that are ready for dispatch.
- Click on a pending order to view its required items, quantities, and assigned warehouse bin locations.
- Click 'Generate Picklist' to produce a bin-sorted pick sheet that warehouse staff use to locate and pull each item.
- After picking, open the Create Shipment form — enter package weights and dimensions.
- Select the freight carrier from the configured carrier list (e.g., FedEx, UPS, Local Courier).
- Enter the carrier tracking number and confirm the dispatch date.
- Click 'Confirm Shipment' to finalize — the sales order status updates to Shipped.
- Tip: For orders with serialized items, you will be prompted to enter the serial number of the specific unit being shipped before dispatch can be confirmed.
Receiving Tab — Inbound PO Reconciliation
- Click the Receiving tab to see the queue of Purchase Orders expecting delivery.
- Click the PO that matches the supplier shipment arriving today to open the receiving form.
- The form shows each line item ordered with its ordered quantity and the quantity still outstanding.
- Enter the quantities actually received for each line item. For partial deliveries, enter what came today — the remaining balance stays in the receiving queue.
- For tracked items, enter batch numbers, lot codes, or expiry dates in the provided fields.
- Record any damage notes or discrepancy observations in the notes field.
- Click 'Submit Receiving Report' to confirm the receipt. Inventory stock levels update automatically and the PO status advances.
- Tip: Each receiving session is logged separately — you can review the full receiving history on the PO record in the Purchases module.
Work Order Issuance — Raw Material Picking
- Open the Material Issuance section to see active manufacturing work orders that have materials to be issued.
- Click a work order to open its material picklist — the BOM drives the required components with quantities and bin locations.
- Follow the picklist to pull each component from its bin location in the warehouse.
- Enter the quantities actually pulled against each line item.
- Click 'Confirm Issuance' to post the transaction — inventory quantities are deducted and the work order records the material delivery.
- Tip: If a component is out of stock during issuance, flag it immediately — this triggers an MRP alert in Job Central to expedite a replacement purchase order.
