Agentic ERP:AI agents that run your business workflows on TrueScope
Give an AI agent the TrueScope API and a job description, and it can look up data, answer clients, raise purchase orders for short materials, plan production and manage projects around the clock.
Works with Grok, ChatGPT, Claude, Gemini and open-source agents. API included on every plan.
Most small businesses do not have a data problem. They have a "somebody has to go and look it up" problem. A customer emails asking when their order ships. Someone opens the sales order, checks the work order, walks to the shop, checks the shipping board and writes back. A project manager notices the steel for next week is short. Someone checks stock, finds the vendor, types up a purchase order and chases an approval. Every one of these jobs is simple. There are just hundreds of them, every week, and they land on the same few people.
Agentic ERP changes who does that work. Instead of a person clicking through screens, an AI agent reads your live business data through an API, works out what needs to happen and does it: it answers the email, drafts the purchase order, flags the late job or files the daily log. Your team stops being the glue between systems and starts being the people who approve, decide and handle the exceptions.
TrueScope was built for exactly this. Every core record in the platform (clients, vendors, products, stock levels, estimates, sales orders, purchase orders, invoices, projects, service calls, work orders, takeoffs, equipment, NCRs and more) is available through a documented REST API, and the full reference is published in a format AI agents read directly. Point an agent at it, give it a role and you have a new member of staff who never forgets to check stock.

What is Agentic ERP?
Agentic ERP is enterprise resource planning that autonomous AI agents can operate. A traditional ERP is a system of record: it stores your orders, stock and finances, and people do all the work of reading it and acting on it. An agentic ERP exposes that same system to AI agents through an API, so software can watch for events, make routine decisions and complete multi-step workflows on its own, within limits you set.
The word "agentic" matters. A chatbot answers questions. An agent takes actions: it calls tools, reads the results, decides what to do next and keeps going until the job is finished. Ask a chatbot "are we short on anything for the Henderson job?" and it gives you an answer. Ask an agent and it checks the project, compares the material list against stock levels, finds the usual vendor, drafts the purchase order and sends it to you for approval.
“You have 210 lengths of 2x2 tube in stock.”
“You need 340 for next week's work orders, so I drafted PO #212 for the 70 you're short. It's waiting for your approval.”
How AI agents connect to TrueScope
There is no special plug-in to install. An AI agent needs three things: a way to reach your data, instructions for its job and somewhere to report back. TrueScope provides the first. Your agent platform (Grok, ChatGPT with actions, Claude with tools, Gemini, or an open-source framework such as LangChain, CrewAI or n8n) provides the rest.
- 1
Turn on the API
Settings → System Settings → Data & API. Switch the API on and copy your company key.
- 2
Give the agent the reference
Share truescopeapps.com/api-reference.md. It lists every endpoint, field and example in a format AI models read directly.
- 3
Write the job description
Tell the agent its role, what it may change and when it must ask a person first.
- 4
Choose a trigger
Run it on a schedule, on new email, or on request. Start read-only, then add write access one workflow at a time.

Step one is the API key. In TrueScope, open Settings, System Settings, Data & API, switch the API on and copy your company key. Every request the agent makes carries that key and only ever sees your own company's records.
Step two is the reference. TrueScope publishes its complete API documentation as plain Markdown at truescopeapps.com/api-reference.md, written so a language model can read it in one pass. Give that link to your agent and it knows every endpoint, field, filter and example request without anyone writing integration code.
Step three is the role. Write the agent a short job description: who it works for, what it is allowed to change, when it must ask a person first and how it should report. A purchasing agent might be told "create purchase orders for short materials, but leave them in NEW status for the operations manager to approve." That one sentence turns a capable model into a safe, useful employee.
Step four is the trigger. Agents can run on a schedule (every morning, check stock against open work orders), react to an event (a new email in the support inbox) or wait for a person to ask. Many agent platforms also include browser control, so an agent can read a supplier's website for a price or lead time, or check a carrier's tracking page, and bring that back into TrueScope.

The best results come from several focused agents rather than one that tries to do everything. Each one gets a narrow job description, the endpoints it needs and clear rules about when to ask a person. Here are nine roles small businesses start with.
Sales Agent
Quotes faster, follows up every time
Turns inquiries into estimates, keeps the pipeline moving and makes sure no quote is forgotten. It reads the client history, prices from your catalog and drafts the estimate for a salesperson to review and send.
- Create the client record from an inquiry email and draft an estimate from your product catalog
- Follow up on estimates that have not been answered in a week
- Convert accepted estimates into sales orders with the right line items
- Summarize this month's open quotes, win rate and largest opportunities
“A new inquiry came in from Harbour Marine for 40 stainless cleats. Set them up as a client and draft an estimate using our current catalog prices.”

Never runs out, never over-orders
Watches stock against demand from work orders, projects and sales orders, and drafts purchase orders for anything that will run short, using the right vendor and the last price paid.
- Compare stock levels and open purchase orders against upcoming demand every morning
- Draft purchase orders for shortfalls in NEW status, ready for approval
- Check a supplier's website for lead time or price with browser control
- Chase overdue deliveries and update expected dates on open purchase orders
“Check everything we need for work orders due in the next 14 days and draft POs for anything we are short on.”

Keeps the shop schedule realistic
Reads sales orders and work orders, spots jobs that will miss their ship date and proposes changes before the customer finds out. It knows what is in progress, what is waiting on material and what is blocked.
- Create work orders for new sales orders that need fabrication
- Flag work orders at risk of missing their due date and explain why
- Report which jobs are waiting on material, inspection or drawings
- Post a daily production summary to the team mailbox
“Which work orders due this week are behind, and what is holding each one up?”

Gets you paid and keeps the books tidy
Invoices finished work, records payments and keeps an eye on receivables. It reads the ledger, journal entries and bank transactions to answer the questions owners actually ask: who owes us, what did that job really cost and how is this month tracking.
- Create invoices for completed sales orders and finished service calls
- Record customer payments against the right invoices
- List overdue invoices and draft polite reminder emails
- Compare estimated versus actual project costs from expenses and time entries
“Which invoices are more than 30 days overdue? Draft a reminder for each client.”

Catches problems while they are cheap
Logs non-conformance reports, tracks them to closure and spots patterns: the same part failing, the same vendor shipping out-of-spec material, the same inspection being skipped.
- Open NCRs from inspection notes or photos sent by the shop floor
- Remind owners of open NCRs and safety incidents that are past due
- Spot repeat failures by product or vendor and suggest corrective action
- Check that required inspection forms were completed before a job ships
“Summarize all open NCRs by vendor and tell me if any vendor has more than two this quarter.”

Answers clients with real, live data
Handles the "where is my order", "when is my technician coming" and "can you resend that invoice" questions with answers pulled straight from TrueScope, and hands anything unusual to a person with a full summary.
- Answer order status questions from sales orders, work orders and shipments
- Confirm or reschedule service visits from the service call schedule
- Log new service requests as service calls with the client's details
- Escalate complaints and late orders to a person with everything it found
“Reply to this email from Coastal Builders asking when their railing order will be delivered.”
GET /api/v1/clientsGET /api/v1/sales-ordersGET /api/v1/shipmentsGET /api/v1/service-callsPOST /api/v1/service-callsProject Management Agent
Keeps every job on schedule and on budget
Follows each project's schedule, tasks, daily logs, change orders and costs, and tells the project manager what needs attention before it becomes a problem.
- Write a weekly status report for each active project
- Create and assign tasks from meeting notes or client emails
- Flag projects where spending is running ahead of progress
- Remind crews to file daily logs and add them from field notes
“Give me a status report on every active project: schedule, budget used, open change orders and anything overdue.”
GET /api/v1/projectsGET /api/v1/projects/:id/scheduleGET /api/v1/projects/:id/change-ordersPOST /api/v1/tasksPOST /api/v1/projects/:id/daily-logsField Service Scheduling Agent
Keeps the crew calendar realistic
Keeps the crew calendar for your field service module full but realistic. It turns new requests into service calls, checks recurring maintenance schedules and moves visits when the day changes, then lets clients know.
- Create service calls from new requests with the right priority and site details
- Spread visits across the week by setting dates and time windows
- Push non-urgent calls back when an emergency job or a sick day hits
- Draft visit confirmations and "running late" messages for clients
“We are a tech short tomorrow. Move the low-priority service calls to Thursday and draft a note to each affected client.”

Tracks every delivery in and out
Keeps track of what is shipping out to customers and what is arriving from suppliers. It watches pick lists and shipments, follows carrier tracking and makes sure late deliveries are caught before they hold up a job.
- List today's outbound shipments and the pick lists that still need packing
- Add carrier and tracking details to shipments once they are booked
- Check carrier websites for delivery status with browser control
- Flag supplier deliveries that are late against purchase order dates
“What is shipping today, what is still waiting to be picked, and which supplier deliveries are overdue?”

Here is what one agent, the material manager, does on an ordinary Tuesday. At 6:00 am it reads every open work order and project for the next two weeks and adds up the materials they need. It compares that against current stock levels across your warehouses and against purchase orders that are already on the way.
It finds that the production schedule needs 340 lengths of 2x2 square tube but only 210 are on the shelf and 60 are on order. It looks up the product's preferred vendor and last price, checks the vendor's website for current lead time and creates a purchase order for the shortfall, charged to the right project, in NEW status.
At 7:30 am the operations manager opens TrueScope Team Mail and finds a short note from the agent: what is short, why, which jobs it affects, the PO it drafted and the delivery date it expects. One click approves it. The whole thing took the manager thirty seconds instead of the usual hour of spreadsheets, phone calls and re-typing.

- 6:00 amScheduled check starts
Reads work orders and projects due in the next 14 days.
- 6:01 amDemand vs. stock
Needs 340 lengths of 2x2 tube. 210 on hand, 60 on order.
- 6:02 amShortfall found: 70
Affects WO-1184 and the Henderson railing project.
- 6:03 amChecks the supplier
Preferred vendor, last price paid, lead time from their website.
- 6:04 amDrafts PO #212
Created in NEW status, charged to the right project.
- 7:30 amManager approves
Reads the summary in Team Mail. One click to APPROVED.
Example: answering "where is my order?" in under a minute
Customer questions are the most common interruption in any shop or contracting business, and almost all of them are lookups. A customer-support agent connected to TrueScope reads the incoming email, finds the client, finds their open sales orders, checks the related work orders for production status and checks shipments for a tracking number.
It then writes a clear, polite reply with the real status: "All 18 railing sections passed QC yesterday and are booked to ship Thursday, with tracking to follow." If the order is late or something looks wrong, it does not guess. It hands the conversation to a person with a summary of everything it found.
Bring the AI you already use
TrueScope is model-agnostic. If your agent can call a REST API, it can work in TrueScope, whether that is Grok running your purchasing, a custom GPT answering customers, Claude writing project reports or an open-source model on your own server. Use browser control alongside the API to check supplier sites and carrier tracking.

Guardrails: keeping people in charge
Giving software the ability to act on your business data should come with limits, and TrueScope builds several in. API keys can only reach the documented /api/v1 business endpoints. Company settings, users, roles, billing and key management are never available to an API key, so an agent cannot change who has access or what you pay.
Records are deactivated rather than deleted, so nothing an agent does wipes out history. Requests are rate-limited, every request is scoped to your company, and you can regenerate the key at any time to cut off access instantly, or switch the API off entirely.
The most important guardrail is the workflow itself. Use statuses as approval gates: agents create purchase orders in NEW status and estimates as drafts, and a person moves them to APPROVED or sends them. Start every agent in read-only mode, where it reports and recommends, and give it write access one workflow at a time as you build trust.
No access to settings, users or billing
API keys only reach the documented /api/v1 business endpoints.
Nothing is hard-deleted
Records are deactivated, so history is never lost.
Statuses as approval gates
Agents draft POs in NEW status; a person approves.
Rate-limited and company-scoped
Every request sees only your company and is throttled.
Instant off switch
Regenerate the key or disable the API in one click.
Start read-only
Let agents report first, then grant write access per workflow.
Agentic ERP vs. traditional ERP
| Traditional ERP | Agentic ERP on TrueScope | |
|---|---|---|
| Who does the routine work | People click through screens and copy data between them | AI agents read and update records through the API |
| Customer status questions | Someone looks it up and writes back, often hours later | An agent answers in minutes with live order data |
| Material shortages | Found when the shop runs out | Found days ahead, with a draft PO waiting for approval |
| Reporting | Built by hand at the end of the month | Written on request, in plain English, any time |
| Working hours | Business hours | Around the clock, on a schedule or on events |
| Role of your team | Data entry and chasing information | Approving, deciding and handling exceptions |
Why TrueScope works well as an agentic ERP
Agents are only as useful as the data they can reach. In many small businesses the estimate is in one app, inventory is in a spreadsheet, projects are in another tool and accounting is somewhere else. An agent asked a simple question has to stitch four systems together, and usually cannot. TrueScope keeps takeoffs, estimates, sales orders, inventory, purchasing, production, field service, projects and bookkeeping in one database with one API, so an agent can follow a job from quote to cash without leaving it.
The API is also designed to be predictable for machines: consistent JSON, paginated lists, partial updates, clear error codes and validation that rejects references to records that do not exist. That predictability is what lets a language model use it reliably without a developer babysitting every call.
And it stays affordable. TrueScope is $20 per Full User per month with no long-term contract, the API is included, and you bring whichever AI model you already pay for. There is no separate "AI tier" and no enterprise implementation project.

Need help implementing ERP or AI in your workflow?
Choosing a new ERP or business system, or working out where AI fits in your operations, is easier with someone who has done it before. TrueScope was started in Vancouver by people who spent years implementing traditional ERP systems, and we built it so small businesses get the benefits without a long, expensive implementation.
Tell us how your business runs today: the spreadsheets, apps and legacy systems you rely on, and the jobs that take up most of your team's time. We will help you decide which TrueScope apps to start with, how to bring your data across and which workflows make good first jobs for an AI agent.
Most teams start small: one area of the business, such as inventory and purchasing or field service, and one read-only AI workflow, such as a morning shortage report or order-status replies. Once that is working, adding the next module or giving an agent write access is a short step.
